Privacy Policy

This Privacy Policy explains how apxswim ("apxswim", "we", "us") collects, uses, and protects information when you use the apxswim coaching application (the "Service"). By creating an account you agree to this Policy and to our Terms of Use.

1. Who this Policy is for

The Service is built for swim coaches. The account holder is the coach. Coaches use the Service to manage team rosters that may include information about minor athletes. We do not knowingly let children create accounts or interact with the Service directly; roster information is entered by the coach acting on behalf of their club or organization.

2. Information we collect

Account information. When you sign in with Google we receive your name, email address, and Google account identifier. We do not receive your Google password.

Coach profile. Information you provide during setup or later: display name, team/club name, and location (city and state).

Roster data you enter. Swimmer names, gender, age band / graduation year, group assignments, and attendance records.

Sensor data. If you use the heart-rate features, live heart-rate traces and session diagnostics captured from heart-rate sensors you connect.

Usage data. Last-seen timestamps and basic activity needed to operate the Service and provide account-level analytics to administrators of your organization.

We do not collect payment-card numbers directly; if and when paid plans launch, billing is handled by a third-party payment processor.

3. How we use information

We do not sell personal information, and we do not use roster or athlete data for advertising.

4. Legal basis & the role of the coach

Because rosters contain data about minors, the coach (and the club or organization they represent) is responsible for having the appropriate authority or parental/guardian consent to enter an athlete's information into the Service, consistent with applicable law and their organization's policies. apxswim processes this data on the coach's behalf.

5. How information is stored and shared

Data is isolated per workspace and protected by row-level security so that one coach cannot access another coach's roster. We share information only with service providers that help us run the Service:

These providers process data under their own security and privacy commitments. We may also disclose information if required by law or to protect the rights and safety of users.

6. Children's privacy

The Service is not directed to children and children may not create accounts. Athlete information in a roster is entered by an adult coach in an administrative capacity, not collected from the child. Because athlete information is provided by adults rather than collected online directly from children, the verifiable-parental-consent requirements of the Children's Online Privacy Protection Act (COPPA) are not triggered; we nonetheless handle athlete data responsibly and limit it to legitimate coaching purposes. If you believe a child has provided information directly to us, contact us at the address below and we will delete it.

7. Administrator visibility

apxswim does not currently provide cross-team administrator dashboards. If that changes, this Policy will be updated to describe exactly what a designated administrator can see and why.

8. Data retention

We retain account and roster data for as long as your account is active. You can permanently delete your account and all associated data at any time from Account & privacy in the app; deletion removes your profile, teams, and rosters and revokes your login. Backups are purged on a rolling basis within 30 days of deletion. We may remove accounts that have been inactive for 24 months or more after reasonable advance notice.

9. Security

We use industry-standard measures including encrypted connections, authenticated access, and per-workspace row-level security. No system is perfectly secure, but we work to protect your information and to limit access to it.

10. Your choices and rights

You may review and update your profile, download a copy of your data, and permanently delete your account and its data directly from Account & privacy in the app, or by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws.

11. Changes to this Policy

We may update this Policy. When we make material changes we will update the version and effective date and, where appropriate, ask you to re-accept it the next time you sign in.
